How to use the Monthly Work Schedule Template
- Open the page. Without a saved link it shows October 2026. To choose another month, use the month field.
- Replace the title “Monthly work schedule, October 2026” with your own title.
- Type a name in each row. The example has 8 rows, and you can work from it by overwriting the names.
- Click a day cell and type a shift code. Codes are not case sensitive and can be up to 12 characters long.
- Check the warnings. A code that is not in the shift table shows in red, counts 0 hours and is listed in a warning. The page also warns about overlapping worked shifts, unreadable times and codes defined twice.
- Fill cells faster with Quick fill. It can repeat a pattern such as “S1 S1 S1 S1 S1 O O” along one row or every row, copy the first week onto the following weeks, or clear cells. You can also tap a code chip and then tap cells to paint them.
- Read the row totals for shifts, paid hours and days off. The row at the bottom counts how many people work each code on each day, plus the total for that day.
- Save your work with Print schedule, Download CSV or Copy link.
Reset returns the page to the example sheet. Copy link stores the whole sheet in the web address, so you can reopen the same schedule later or send it to someone else.
Paid hours for a shift equal the end time minus the start time, minus the unpaid break in minutes. The result never goes below 0. If the end is earlier than the start, the shift runs past midnight. For example, S1 runs from 08:00 to 16:30 with a 30-minute unpaid break: 8.5 hours minus 0.5 hour gives 8 paid hours. O (Off) and V (Vacation) have no times, so they count 0 hours. Each row’s total is the sum of its shifts. The default October 2026 example (31 days) totals 1408 paid hours over 176 shifts. The February 2028 example (29 days, a leap year) totals 1304 paid hours over 163 shifts. A calendar month always shows every day of that month, and the page applies no legal or pay rule, so check your own pay rules separately.
How do I fill in the cells quickly?
Click a cell and type a code, or use the arrow keys and Enter to move from cell to cell; the code list offers the codes defined in the shift table. On a phone, tap a code chip and then tap the cells to paint them. Quick fill repeats a pattern such as “D D N N O O O” along a row, optionally starting each row one step later, and can copy the first week onto the following weeks. A dash in the pattern leaves a cell blank.
What is in the CSV file?
Download CSV saves the grid with one row per person: the name, the codes for each date, and the totals. The header row uses dates in yyyy-mm-dd form. The file opens in any spreadsheet program. Nothing is sent anywhere; the file is made in your browser.
How does the staffing count work?
The count row at the bottom shows, for each date, how many people have each code. Use it to see at a glance whether a day has enough people on a shift. The page does not decide what is enough: you read the counts and judge for yourself.

Frequently asked questions
Does the month field change the number of days shown?
Yes. A month always shows its whole calendar month, so the grid has 28 to 31 days. February 2028 shows 29 days because it is a leap year.
What happens if I type a code that is not in the shift table?
The cell turns red, counts 0 hours and appears in a warning. Define the code in the shift table, or correct the typing, to make it count.
Why does the page warn about overlapping shifts?
It warns when two worked shifts in a row overlap, such as a night shift that ends after the next day’s shift starts. Check those cells so that one person does not appear in two places at once.
How do I get back to the example sheet?
Use Reset. It returns the page to the example sheet, with 8 rows and 31 days for October 2026. Your own sheet is only replaced when you reset or open a different link.
Can I keep the schedule without an account?
Yes. There is no account or sign-up. Use Copy link to keep the schedule in a web address, or Download CSV or Save as PDF to keep a copy on your device.
Does the page check the hours against labour law?
No. The page only adds and subtracts the times you type and reproduces no legal or pay rule. Check any limits on hours or breaks against the rules that apply to you.
Is this tool free, and is anything I type uploaded?
Yes, it is free and needs no account or sign-up. Everything is calculated in your browser, and nothing you type is uploaded.
Can I print it or share it?
Yes. Print / save as PDF prints the page as you see it; choose Save as PDF in the print dialog to keep a file. Copy link copies a page address that stores your inputs, so the same schedule can be reopened later or sent to someone else.
